We process your data to ensure the successful organisation and execution of the event. Providing personal data is voluntary, but necessary to register for the event or use the controller’s service. Failure to provide data may result in the inability to register for the event or use the controller’s service.

How do we collect your data?
Directly from you: When you fill out the “Become a Partner” form.
Via Third-Party Platforms: For ticket sales, we use Fienta (https://fienta.com/). Fienta acts as a data processor. When you purchase a ticket, they share the necessary attendee details with us to manage your entry.
Automatically: Through cookies and analytics tools on our Website while you interact with our services.
During the Event: Through professional photography and video recording of the sessions and networking zones.

Photography and Videography Notice
Please be aware that the Tech Race Summit is a public professional event.
We record photo and video content for reporting and promotional purposes.
If you do not wish to be photographed, please inform our staff at the registration desk.

Data Sharing and Third Parties
We share information with service providers (such as Fienta, our ticketing provider) and other third parties where it is necessary to perform this Privacy Policy and any other legal policy we may have; to provide the services; and for other purposes described in the Privacy Policy.
We may also share your personal information with competent authorities from the country where an event takes place upon their request and, particularly, where this is necessary to ensure compliance with a legal obligation, detect, investigate, prevent, and address fraud and other illegal activity, security, or technical issues; protect our rights, property, or safety; enforce our agreements we have with you.

While the Event is in Poland, some of our service providers may be located outside the European Economic Area (EEA). In such cases, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) approved by the European Commission.

Data Retention
We shall only retain your personal data for as long as necessary in view of the purposes for which they were collected. Such purposes could include the satisfaction of any legal, accounting, or reporting requirements. When determining the appropriate retention period applicable to your data, we take several factors into consideration, such as the purposes for which we collect and process such data, the applicable laws and/or regulatory requirements imposed on us, the nature and sensitivity of the personal data, and the potential risks surrounding the unauthorised use or disclosure of such data.
Speaker Materials: Presentations and recordings are stored as part of the summit’s historical archive.
Marketing/Future Events: We retain only your contact information for a period of one (1) year following the conclusion of the Event for the sole purpose of promoting the subsequent year’s summit, unless you object or opt out earlier.
Visual Content: Media materials captured during the Event are published on our Website and securely stored in a restricted-access archive for historical, reporting, and future promotional purposes, unless a valid deletion request is received from a data subject.

In particular, proper legal, technical and organisational measures were taken to ensure security of Personal Data suitable for the level of risk and category of protected data, in particular, the controller protects the data against access by unauthorised persons, stealing of such data, processing of the Personal Data in violation of the act, as well as amendment, loss, damage or destruction of such personal data.
